When your office lease ends, the landlord usually expects the unit back the way you got it. That job is called reinstatement. The work has to fit around building rules and finish before your lease expires, or getting your security deposit back may be delayed.

What is office reinstatement?
Office reinstatement means returning a leased office to the condition set out in your tenancy agreement before you hand back the keys. For most offices this means taking out everything the tenant added during the fit-out, such as partitions, carpets, extra lighting, cabling and built-in furniture. The walls, ceiling and floor are then made good to the landlord’s standard, which is often called bare shell or original condition.
Think of it as a fit-out in reverse. A commercial fit-out contractor builds a space up for you; a reinstatement contractor takes it back down and restores it.
When do you need it?
You will usually need reinstatement work when:
- your lease is ending and you are not renewing;
- you are relocating to another unit or building;
- you are giving up part of your space or reconfiguring it, and the lease says altered areas must be restored;
- your landlord or building management has sent you a handover or reinstatement checklist.
What the landlord’s handover requirements mean
The exact scope is set by two documents: the reinstatement clause in your tenancy agreement, and any handover checklist the landlord issues. These spell out what must be removed, which finishes must be restored (for example, ceiling grid and tiles, floor finish, wall paint colour) and how the unit will be inspected. Some landlords will accept a lighter scope, such as leaving a partition layout that an incoming tenant wants, but that should be agreed in writing before any work starts.
Read both early, and clarify anything unclear with the landlord before collecting quotes so every contractor prices the same scope.
Typical scope of office reinstatement works
Dismantling and removal
Partitions, doors, reception counters, pantry cabinets, built-in carpentry and signage are taken out and surfaces made good.
Ceiling restoration
Added false ceilings, bulkheads and extra light fittings are removed. The ceiling is then restored to the base condition or to the building’s original grid and tiles, depending on what the landlord specifies.
Flooring restoration
Carpet, vinyl, tiles or raised flooring are lifted. The floor is then cleaned, screeded or levelled back to the original or bare finish the lease calls for.
Mechanical and electrical (M&E) works
Tenant-added power points, trunking, data and telecom cabling, distribution board changes and extra air-conditioning units or ducting are disconnected and removed. Any added water points are capped. Changes to fire detection or sprinkler systems may also need restoring; your contractor and building management should advise.
Repainting
Walls are patched, skimmed where needed and repainted in the colour the landlord specifies.
Debris disposal and final cleaning
Debris is removed through the building’s approved route and disposed of properly, and the unit is cleaned before the landlord’s inspection.
How much does office reinstatement cost?
There is no fixed price, because the cost depends on how much was built during your fit-out. Published figures can still help with early budgeting, as long as you treat them as indicative:
- Cushman & Wakefield’s Asia Pacific Office Fit Out Cost Guide 2026, as reported by Singapore Business Review, puts Singapore reinstatement costs at about S$20.52 to S$24.37 per square foot, rising to S$32.06 psf for full reinstatement. These were indicative averages as of December 2025.
- Reinstatement contractor REINSTATE.by MCSG publishes ranges of about S$3 to S$8 psf for a light open-plan office, S$8 to S$18 psf for a partitioned office with glass walls, and S$18 to S$35+ psf for a heavy fit-out with extensive M&E, raised flooring or a server room.
Your own quote will depend mainly on:
- Floor area
- How heavy the fit-out was: glass rooms, raised floors, server rooms and carpentry add work.
- M&E complexity
- The landlord’s finish requirements: full bare shell or an agreed partial scope.
- Building rules: after-hours windows for noisy work and access restrictions.
- Disposal volume
The only reliable number is an itemised quotation based on a site visit and your actual reinstatement clause.
How to choose an office reinstatement contractor
Use this checklist when comparing quotes:
- Commercial reinstatement experience. Ask for examples of office handovers.
- A free site visit before quoting.
- An itemised quotation. Check that disposal, touch-ups and cleaning are included; a low quote that leaves them out can cost more later.
- Builder’s works and M&E handled together.
- Safety and registration. Ask about bizSAFE certification and BCA registration.

Office reinstatement timeline: how to plan it
How long reinstatement takes depends on the size of the office, how much was built in, and the building’s rules on working hours. As one example, F&L Reinstatement states on its website that most commercial office reinstatements it handles are completed in 4 to 6 weeks, with larger floors or complex M&E taking longer. Treat this as one contractor’s guide. Plan backwards from your lease expiry date:
- Check your lease. As soon as you decide not to renew, read the reinstatement clause and any notice requirements, and ask the landlord for the handover checklist.
- Get site visits and quotes. Ask two or three contractors to quote against the same scope.
- Agree the scope with the landlord. Confirm in writing anything the landlord is willing to let you leave in place.
- Plan the move. Furniture must be out before most works start, so book movers early.
- Permits and scheduling. Your contractor applies to building management.
- Reinstatement works.
- Joint inspection and rectification. Leave buffer time for touch-ups.
Starting late is a common cause of handover problems, which can mean holding-over rent and a delayed deposit refund.
